Overview
Yes — you can fully customize the default text (SMS) and email templates that LedgerSync sends to your clients when inviting them to add banks or reminding them to connect. Both channels are editable, and you can choose which channel each invitation is sent through.
How to Edit Default Templates
- Click the Client Actions tab (top navigation bar)
- Click Communication Center
- Select the template you want to edit — you can edit both SMS invitation templates and Email invitation templates
- Edit the text as needed
- Click Save
Important: Editing a Default template changes the message for all messages sent using that template. Make sure the wording makes clear that the message is coming from your firm — clients are more likely to act on messages they recognize as legitimate.
Email Templates Are Now Editable
Previously only the SMS invite text could be customized. You can now create and edit an Email invitation template as well. Each template carries a channel (SMS or Email), and when you send an Add Bank or Reconnect request you can pick which channel — and which matching template — to use.
Choose SMS or Email Per Request
When sending an invitation, you select the channel for that send:
- Choose SMS only — the client receives just a text message
- Choose Email only — the client receives just an email
- The system sends only the channel you selected (it no longer sends both by default)
The "Default" Template Flag
Each template type/channel has one default template, marked with a clear default flag. This replaces the old behavior where the system matched the default by template name (which allowed confusing duplicate "Default" templates to pile up). Now:
- You explicitly mark one template per type/channel as the default
- Only one default is enforced per group
- Any extra duplicate "Default" templates are safe to delete
Available Template Placeholders
Placeholders are automatically replaced with real values when each message is sent:
| Placeholder | Replaced With |
|---|
{ClientName} | The client’s name as entered in LedgerSync |
{BankName} | The name of the bank being invited/reconnected |
{Link} | The secure bank connection or reconnection link for that client |
{EmployeeFirstName} | The first name of the employee (or firm) sending the message |
Example message using all placeholders:
"Hi {ClientName}, this is {EmployeeFirstName} from our team. We use LedgerSync to streamline your bookkeeping. Please click the link below to connect your {BankName} account: {Link}"
Tips
- Make the message sound like it’s coming from you directly — use your firm name and a friendly, familiar tone
- Before sending to all clients, test the template by temporarily putting your own phone number/email into a client record and sending to yourself
- The
{EmployeeFirstName} placeholder automatically uses the first name of whoever is logged in and sending the message
