Do New Statements Auto-Sync to Cloud Storage or Require a Manual Push?

Yes, new statements sync automatically. Once your cloud storage is connected, LedgerSync sends each new statement to your cloud folder as soon as it pulls the statement from the bank, usually within seconds (Xero is the exception, see below). You do not need to push new statements by hand. A nightly catch-up run also sends anything that has not been delivered yet, and you can still push statements manually whenever you want.

How automatic sync works

  • Right after each pull: every new statement is sent to each cloud storage platform you have connected, usually within seconds of LedgerSync pulling it. Xero is the exception: it receives new statements from the nightly run only.
  • Nightly catch-up: every night at 3:00 AM Eastern Standard Time (4:00 AM Eastern during daylight saving time), LedgerSync sends any statement that has not reached your cloud storage yet. This includes statements that were already in LedgerSync before you connected cloud storage, and statements that were missed while a connection needed attention.
  • These times are set by LedgerSync and cannot be changed from your account.

Before automatic sync can work

  • Connect your platform under Tools > Cloud Storage. LedgerSync supports Dropbox, Google Drive, SharePoint, box.com, OneDrive, Xero and Smart Vault.
  • Choose a destination folder. Box.com, Google Drive, SharePoint and Smart Vault do not receive any statements until a folder is chosen, either for the whole firm or for that client (for SharePoint: a site, a library and a folder). Dropbox and OneDrive still receive them, at the top level of the connected storage.
  • If a connection is disconnected or needs to be re-authorized, nothing is sent to it until you reconnect. Missed statements then go out with the next nightly catch-up.

How to push statements manually

Use a manual sync when you want statements sent right away instead of waiting for the nightly run, or to send a statement again, for example if a file was deleted from your cloud folder. A manual sync sends every statement you select, even ones that were sent before.

  1. Select the client in the client list on the left.
  2. Go to Bank Connections > Statements.
  3. Use the Select Bank or Account box at the top to choose the bank or account.
  4. Tick the checkbox in the top-left corner of the table to select all statements, or tick individual statements.
  5. Click Sync With and choose your cloud storage platform. This button appears once at least one statement is selected and a cloud storage platform is connected.

The Exported to column on the Statements page shows which platforms each statement has been sent to, and when.

Where statements land

Statements go to the folder set up for each platform under Tools > Cloud Storage. To send one client's statements to a different folder, go to Client Actions > Client List, click Manage on that client's row and choose Cloud Mapping.

Dropbox note: Dropbox only lets LedgerSync save files inside the Apps/Ledgersync folder of your Dropbox.
