How to Attach Check Images to QuickBooks Transactions

Overview

LedgerSync can now match check images directly to your existing QuickBooks Online (QBO) transactions, allowing you to attach check images to QBO in bulk with a single click. This eliminates the need to manually locate and upload check images one by one.

Prerequisites

  • QuickBooks Online must be connected to LedgerSync (so LedgerSync can pull in QBO transactions)
  • A Premium Bank Connection must be set up for the client's bank to enable check image fetching

How It Works

LedgerSync pulls in your QBO transactions and compares them against the check images retrieved from the bank. When LedgerSync finds a match between a QBO transaction and a check image, it surfaces that match in the QuickBooks Transactions page for your review. You can then approve and push the check images directly to QBO in bulk.

Note: LedgerSync will only display transactions where it has successfully matched a QBO transaction to a check image. Unmatched transactions will not appear in this view.



Steps

  1. In LedgerSync, click Tools in the top navigation bar.
  2. Select QuickBooks Transactions from the dropdown menu.
  3. Review the list of matched transactions. Each row shows the transaction type, date, payee, account, check number, check date, amount, and status.
  4. Select the checkbox next to one or more transactions you want to attach check images to. Use the top checkbox to select all.
  5. Click Attach to QuickBooks.
  6. LedgerSync will push the matched check images to the corresponding QBO transactions.

Filtering

Use the filter options at the top of the page to narrow your view:

  • Pending — transactions with a matched check image not yet pushed to QBO
  • Attached — transactions where the check image has already been sent to QBO
  • All — view all matched transactions regardless of status

You can also filter by date range, amount, or check number using the available fields.
