How to Convert Bank PDF Statements to Excel, QBO, or CSV
Overview
The LedgerSync PDF Converter extracts transactions from bank statement PDFs and converts them into Excel, CSV, QBO, or OFX format — without any manual data entry. This is especially useful when a client can only provide PDF statements and electronic bank access is not available.
When Is This Useful?
- A client provides only PDF bank statements and you need the transactions in a usable format
- You are doing cleanup work and need historical transaction data extracted from old statements
- A bank cannot be connected electronically and PDF statements are the only data source available
- You need to import transaction data into QuickBooks, QuickBooks Desktop, or Accounting CS
How the PDF Converter Works
The PDF Converter uses a background processing (job queue) system. When you upload a file, LedgerSync accepts it immediately and processes it in the background — you do not need to stay on the page or wait for it to finish.
This means you can:
- Upload multiple files at once — drop several monthly statements in a single session instead of one at a time
- Close the browser and come back later — your files will continue processing and be ready when you return
- Track progress in real time — the converter shows you the current status of each file as it processes
- Retry a failed conversion with one click — no need to re-upload the file if processing fails
- Download your results when ready — a download link appears automatically once the conversion is complete
Step-by-Step Instructions
- In LedgerSync, click Tools (top-right navigation bar)
- Click PDF Converter
- Drag and drop your bank statement PDF(s) into the upload area, or click to browse and select files
You can drop multiple files at once - LedgerSync will queue each file for processing and begin converting in the background
- Watch the status column — it updates in real time as each file is processed
- Once a file shows Complete, click the Download button and choose your preferred format:
- Excel (.xlsx)
- CSV
- QBO (QuickBooks Online / Desktop)
- OFX (Open Financial Exchange — used for Accounting CS and other platforms)
- If a file shows Failed, click Retry — you do not need to re-upload
Account Analysis & Commercial Statements
The converter also handles Account Analysis statements — the detailed commercial/treasury statements that many business banks produce, which include service-charge and analysis sections in addition to the standard transaction register. LedgerSync extracts the transaction activity from these statements just as it does for standard consumer statements. Because Account Analysis layouts vary widely by bank, review the extracted output for completeness, and if any section didn’t extract cleanly, contact support with the statement so we can tune the extraction.
Large Files — Email Download Link
If the converted output is very large (for example, a multi-year combined statement), LedgerSync will send you a download link by email rather than triggering an in-browser download. When prompted, enter your email address to receive the link.
Before You Upload — Important PDF Requirements
Not all PDFs can be converted. Please check the following before uploading:
- Text-based PDFs only — PDFs that are images (scanned documents) cannot be converted. To test: if you can highlight text in the PDF and copy it, the converter should be able to process it
- No password-protected PDFs — protected or encrypted files cannot be processed. Remove the password before uploading
- Combined multi-month PDFs — the converter handles large combined files (150+ pages). If your file is a combined PDF of many months, upload it as-is and let the queue process it
Note: Conversion accuracy depends on the quality and format of the source document. Text-based PDFs produce near-perfect results. Scanned or image-based pages will produce lower accuracy and cannot be fully guaranteed.Troubleshooting

| No download link appeared | For very large outputs, check your email for a download link |
