How to send, read and edit messages on a task

How to send, read and edit messages on a task

Every task in the Task Center has a conversation thread. Use it to message the people working on the task and to share files. You can edit your own messages and remove their attachments until the task is completed.

Who can post on a task

You can post a message on a task if you are its author, its assignee, or someone who was chosen as a recipient of an earlier message on it.

See your task messages in one place

  1. Click Task Center in the top menu.
  2. In the panel on the left, under Task Views, click Messages.
  3. The list shows each task you have written on or been chosen as a recipient on, with its latest message. It has three columns:
    • Subject: the task type in bold, then the task description.
    • Message: the latest message, shortened after 100 characters.
    • Sent Date: when that message was sent.
  4. Click a row to open the task and its conversation.

Clients can use the Messages view too.

Find the conversation on a task

Some tasks have a separate Conversation Thread tab. On other tasks, the thread is in the Task tab under the heading Conversation Thread. If nobody has posted yet, it shows No Messages Yet.

  • Your own messages are on the right.
  • Other people's messages show the author's name.
  • If a message was sent to chosen recipients, their names appear after an arrow.
  • Attachments appear as tiles. Click one to download it.

Send a message

  1. Type in the box that says Type your response here... Every message needs some text.
  2. To send it to specific people, click the person button (Select other Recipients). Search with Search users..., click each name you want, then click the check mark to apply your choice.
  3. To add files, click the paper clip button (Attach file).
  4. Click the arrow button, or press Ctrl + Enter (Cmd + Enter on a Mac).

Who is notified

  • If you choose recipients, only those people are notified.
  • If you don't choose anyone, the task's author and assignee are notified. You are never notified about your own message.

Task message notifications are not sent by email.

Who you can choose as a recipient

The list groups people under Clients, Owner, Team and Admin. Clients see only the owner, team members and admins, never other clients. If your search matches nobody, the list shows No users found.

File types you can attach

You can attach pdf, png, jpg, jpeg, gif, webp, svg, txt, tex, csv, tsv, json, xml, md, log, doc, docx, xls, xlsx and zip files. If you pick any other type, you see the warning Unsupported file type. Please select a supported file.

How a message can change the task's status

A message sent to recipients you chose never changes the status. A message sent without chosen recipients can:

  • If you are the task's assignee and the task is Active or Awaiting Response, it moves to Needs Clarification.
  • If you are the task's author and the task is Needs Clarification or Checking, it moves to Awaiting Response.

In every other case the status stays the same. Messages never change the status of a Client Request or of a completed task.

Edit a message

You can edit only your own messages, and only while the task is not completed. Click the pencil button on your message, change the text, and send it again with the arrow button or Ctrl + Enter.

  • While you edit, the box shows Editing message above your text. Click the X to cancel.
  • You can add more files while editing.
  • To remove an attachment, click the X next to it and confirm when asked Do you want to remove, followed by the file name.
  • After you save, the message shows Edited at with the time of the edit.

A message can't be deleted once it is sent. You can only change its text or remove its attachments.

Completed tasks

Once a task is completed, the message box no longer appears on it, so no new messages can be added from the task. You can still read the conversation and download attachments. Messages and attachments on a completed task can't be edited or removed.
