How to set up a recurring task that repeats automatically

A recurring task is a task that LedgerSync sends again on a schedule. You choose how often it repeats when you create the task, and LedgerSync then sends a new copy of it to the same assignee each time it is due.

Set up a recurring task

  1. In the Task Center, click add task.
  2. Under WorkFlow, pick a task type. The option repeat this task every appears once a type is picked.
  3. Under repeat this task every, choose Day, Week, Month, Quarter, Half-Year or Year. Quarter means every 3 months and Half-Year means every 6 months.
  4. Finish the task as usual and click Send Task.

Good to know:

  • The repeat choice takes effect only when you click Send Task. It is not kept if you click Save as Draft, so choose it again before you send the draft.
  • Only the person who created a draft can send it.
  • The schedule starts on the day you send the task.
  • You can only add a repeat schedule while sending a task. A task that has already been sent cannot be made recurring.

When the copies are created

LedgerSync checks recurring tasks once a day, at about 6:00 AM UTC. When the chosen interval has passed since the last copy (or since you sent the task, for the first copy), it creates one new copy.

Each copy:

  • arrives as a new Active task for the same assignee, who is notified as for any newly sent task
  • has the same type, author, assignee, description and priority as the original task
  • shows the files attached to the original task. These files can only be removed from the original task.
  • gets a due date the same number of days ahead as the original had. For example, if the original was due 3 days after it was created, each copy is due 3 days after the copy is created.

Completing the original task does not stop the copies. To stop them, use one of the options below.

How to tell a recurring task apart

When you open a recurring task, a Recurrent Task badge shows at the top. On the original task it reads Recurrent Task (original).

  • On a copy, click the badge to open the original task.
  • On the original, only the person who created the task can click the badge, and doing so stops the recurrence.

Stop a recurring task from the task

  1. Open the original task. If you are on a copy, click its badge to open the original.
  2. Click the Recurrent Task (original) badge.
  3. Confirm when asked "Do you want to stop this recurrent task?"

You see "Recurrent task stopped". No more copies are created. Copies that were already sent stay in the Task Center.

Manage recurring tasks from the Recurrent Tasks page

The firm owner and firm administrators see Recurrent Tasks in the left panel of the Task Center, under Task Views. It lists every recurring task in your firm, whoever created it. Team members and clients do not see this page.

The page has the columns Task, Type, Recurrence and Last Creation Date. Task and Type show the original task's description and type. Last Creation Date is the day the last copy was created, or the day the task was sent if no copy has been created yet.

  • Open the original task: click its row.
  • Change how often it repeats: click the interval in the Recurrence column and pick a new one. The change is saved as soon as you pick it. The next copy is then due when the new interval has passed since the Last Creation Date.
  • Remove the recurrence: click the bin icon (Remove recurrent task) and confirm when asked "Do you want to remove this recurrent task?"

Removing a recurrence here does the same as stopping it from the task's badge. A stopped or removed recurrence cannot be restarted. To repeat the task again, create a new task, choose how often it repeats and send it.
