How to use the Task Center to create, assign and track tasks

The Task Center is where your firm creates tasks, assigns them to clients or team members, and follows each one until it is complete. For example, you can ask a client to connect a bank, fix a broken connection or explain transactions.

Where to find it

Firm users click Task Center in the main menu. Clients click Task Center in the header of their portal. A dot on the link means you have new Task Center notifications.

Inside the Task Center, the bell button next to the page title lists these notifications: tasks assigned to you, status changes and new or edited messages on your tasks. Click a notification to open the task, or click Clear to remove them all. Notifications are collected while you have LedgerSync open.

Task views

The left panel shows Task Views:

  • All tasks: every task in your firm. Only firm users see this view, and the firm owner and administrators open the Task Center here.
  • Mine: tasks waiting for you. These are tasks assigned to you that are Active or Awaiting Response, plus tasks you created that are in Needs Clarification or Checking.
  • Created by me: tasks you created.
  • Messages: each task you have written a message on or been chosen as a recipient on, with its latest message.

Client Requests are listed under All tasks, not under Mine or Created by me.

The for picker (week, month, half year or year) starts on week. It sets the period for the counts shown beside the views, beside Overdue and beside each task type. These counts include tasks sent in the last week, month, 6 months or year. The task list itself is not limited by the period.

Filters in the left panel

  • Filter By Status: Overdue shows tasks whose due date has passed and that are not completed. Completed shows completed tasks. Click Completed again to turn it off.
  • Filter By Type: Add Bank, Fix Bank, Clarify Transaction, Missing Statements, Need Checks and Custom Task. Firm users also see Client Requests when there are any in the period. The count badge is blue below 5, amber from 5 to 30 and red above 30.

Summary boxes

At the top of All tasks, four boxes count your firm's tasks, whatever period you picked:

  • Open Tasks: sent tasks that are not completed yet.
  • Overdue: open tasks whose due date has passed.
  • Awaiting Response: tasks waiting for the assignee to act.
  • Completed This Week: tasks completed in the last 7 days.

Status tabs, search and filters

Above the list are the tabs All Tasks, Active, Needs Clarification, Awaiting Response and Checking. Mine does not have the Needs Clarification tab.

The Search task... box finds tasks whose description contains your text, in upper or lower case.

Next to Filter by:, you can filter by Task author, Task assignee, Created date range and Due date range. Created by me has no author filter, and Mine has no assignee filter.

Reading the task list

The list has the columns Task, Assigned To, Type, Status, Due Date and Updated. All tasks and Created by me show the newest tasks first. Mine shows the most recently updated tasks first.

  • Task text longer than 100 characters is cut short in the Task column.
  • Due dates are shown in bold red once they have passed, red when due within 1 day, amber within 3 days and blue within 7 days.

A task's status tells you who needs to act:

  • Draft: saved but not sent yet.
  • Active: sent and waiting for the assignee.
  • Needs Clarification: the assignee posted a message to everyone on the task, and it is waiting for the author. New Client Requests also show this status.
  • Awaiting Response: the author replied or returned the task, and it is waiting for the assignee again.
  • Checking: the assignee clicked Done, and the author needs to review it.
  • Completed: the task is closed.

Creating a task

  1. Click add task above the list. The Create New Task panel opens.
  2. Under WorkFlow, pick a task type: Add Bank, Fix Bank, Clarify Transaction, Missing Statements, Need Checks or Custom Task. The description is filled with starter text that you can change.
  3. Under Assign To, choose who the task is for. People are grouped as Clients, Owner, Admin and Team.
  4. Optionally set Priority (High, Medium or Low) and Response Needed By. Response Needed By is the due date shown in the Due Date column and in the task's details.
  5. Optionally choose how often to repeat the task under repeat this task every (Day, Week, Month, Quarter, Half-Year or Year). LedgerSync then sends a new copy of the task on that schedule.
  6. Check the text under Task Description / Instructions. Every task needs a description.
  7. For Add Bank, Fix Bank and Clarify Transaction tasks, choose the banks under Pick Banks to Connect, the connections under Pick Connections to Fix or the transactions under Pick Transactions to Clarify. If the assignee is someone at your firm rather than a client, first choose the client in the Pick a client to proceed box.
  8. Optionally add files under Attachments.
  9. Click Send Task to send it now, or Save as Draft to finish it later. Send Task works only once the task has a type and an assignee.

A sent task becomes Active and appears under Mine for the assignee. If the assignee has LedgerSync open, they also see a pop-up and a notification.

Only the person who created a draft can send it. To get rid of a saved draft, click Delete and confirm. The draft's author, the firm owner or a firm administrator can delete a draft. If you close the panel with unsaved changes, you are asked whether to save them first.

Once a task is sent, its type, assignee, description, priority and due date can no longer be changed.

Inside a task

An open task shows its number, its type and the date it was created. It has these tabs:

  • Task: the description and, depending on the type, the list of banks, connections or transactions. On other task types, the conversation is shown here.
  • Attachments: the task's files.
  • Conversation Thread: shown on Add Bank, Fix Bank and Clarify Transaction tasks that list banks, connections or transactions.

Beside the tabs, Task Details shows the Author, Assignee, For Client (when a client was picked), Due and Status. Due reads, for example, "Overdue by 2 days", "Due today", "Due in 3 days" or "No due date". The Timeline shows Created, Sent, Last Update and Response Due.

On a Clarify Transaction task, each transaction has an Enter your comment box and an Update button.

Moving a task to completion

  1. The assignee does the work and clicks Done. The Done button appears for the assignee on Active and Awaiting Response tasks. Done saves any changes they made to the task's list and moves the task to Checking.
  2. The author reviews it. On a task in Checking, the author sees Return to Assignee, which sends it back to the assignee as Awaiting Response, and Mark Complete, which closes it. Both ask you to confirm.

On a task in Needs Clarification, the author can also click Mark Complete. A draft can't be completed.

Once a task is in Checking or Completed, its list of banks, connections or transactions is shown but can't be changed.

Attachments

To add files, drag and drop them onto the upload area or click Browse for files. Accepted formats are pdf, png, jpg, jpeg, gif, webp, svg, txt, tex, csv, tsv, json, xml, md, log, doc, docx, xls, xlsx and zip. If you choose a file of another type, you see "Wrong filetype, please select from" followed by the allowed formats.

  • PDFs, images and text files can be previewed. Other files show "Can not preview this File", but you can still download them.
  • On a completed task, files can be downloaded but not added or removed. If there are none, you see "No Attachments".
  • Only the task's author or the firm owner can remove a file. You are asked to confirm first.
  • On a repeating task, files that came from the original task can only be removed from the original task.

Client Requests

Clients can send their firm a Client Request. It is assigned to the firm owner's account, shows the status Needs Clarification, and the client's text appears as the first message. Only clients can create one. The firm owner can close it with Mark Complete.

What clients see

Clients use the same Task Center with the Mine, Created by me and Messages views. They don't see All tasks or the summary boxes.
