Resetting a Client's QBO Data (Reconnecting to a Different QuickBooks Company)

Overview
If a client’s QuickBooks Online connection is reconnected to a different QBO company than originally linked, the client’s old categorization data no longer matches the new company — categories point at the wrong chart of accounts and transactions can sync to the wrong place. The Reset QBO Data action cleans this up.
What Reset QBO Data Does
- Clears the client’s QBO categorization data (category/vendor mappings tied to the old company)
- Moves any not-yet-synced transactions from Categorized back to For Review so they can be re-categorized against the new company
- Also clears the previously mapped Global Categories for those transactions, so they can be correctly remapped to the new QBO chart of accounts
Important: Transactions that were already synced to QuickBooks are not deleted from QBO by this action. Reset QBO Data affects LedgerSync’s categorization state, not the entries already posted in QuickBooks.
When to Use It
- A client’s QBO was reconnected to a different company (new company file, restructure, wrong company connected by mistake)
- Transactions were mis-mapped after switching QBO companies and rules can’t remap them because old Global Category mappings are stuck
After the Reset
- Re-map the client’s new QBO chart of accounts to your Global Categories
- Re-run rules (or use Reset TXS in Review) — transactions in For Review are re-evaluated and categorized against the new company
- Review and sync as usual
Note: After a full RESET TRANSACTIONS, global rules intentionally do not re-apply until you re-map the client’s categories — this is expected behavior, since the rules have no valid category mapping to write to until the mapping exists.
