Overview
The Rules Engine can assign a QuickBooks Class in addition to the Category when categorizing transactions. This supports clients — such as government entities, nonprofits, and multi-location businesses — that track expenses at a deeper level than category alone.

What Are Classes in QuickBooks?

QBO Classes let a business slice transactions along a second dimension beyond the chart of accounts: departments, locations, funds, grants, or programs. A transaction can be categorized as "Office Supplies" (category) AND tagged "Downtown Location" (class).

How Class Assignment Works in LedgerSync

  • When a client’s QBO company has Classes enabled, LedgerSync pulls the class list along with the chart of accounts
  • Rules can assign both a Category and a Class — when the rule matches a transaction, both are applied
  • The class syncs to QBO with the transaction, exactly as if it had been entered in QBO directly

How to Add a Class to a Rule

  1. Create or edit a rule (from the Global Rules page or from a transaction)
  2. Select the Category as usual
  3. Select the Class from the class dropdown (populated from the client’s QBO)
  4. Save — matching transactions receive both the category and the class

InfoClasses must be enabled and defined in the client’s QuickBooks Online company first. If the class dropdown is empty, check that class tracking is turned on in QBO (Settings → Account and settings → Advanced → Categories).
