Overview
You don’t need QuickBooks Online or Zoho Books to use the LedgerSync Rules Engine. If your firm keeps its books in another system — or a client isn’t on a connected accounting platform — you can upload your chart of accounts, vendors, and bank accounts from an Excel template and the Rules Engine will use that data to categorize transactions.
Who This Is For
Firms not connected to QuickBooks Online or Zoho Books
Clients on a manual/other accounting platform who still need automated categorization
Anyone who wants to drive the Rules Engine from their own GL data
What You Upload
Using the provided Excel template, you supply:
GL Code — your account code (e.g., 5021)
GL Description — the account name (e.g., Office Supplies)
Vendor Name — vendors to match against
Bank Accounts — the accounts transactions belong to
How to Upload
Go to the Rules Engine / manual upload area
Download the Excel template
Fill in your GL codes, descriptions, vendors, and bank accounts
Upload the completed file
Your categories and vendors now feed into Global Rules — build rules exactly as a QBO/Zoho firm would
The Global Categories and Vendors used when creating a rule come from your uploaded LedgerSync data, not from QuickBooks. If you’re on Accounting CS specifically, use the dedicated Accounting CS setup instead — see the ACS articles.
After Uploading
Map your Global Categories as usual
Create Global Rules against your uploaded GL codes and vendors
Export categorized transactions in your preferred format (Excel, CSV, OFX)
