Understanding the Review & Export Workflow
Overview
The Review & Export workflow is the core process in LedgerSync for Accounting CS. This article explains each step from selecting a client to exporting transactions for Accounting CS.
The 4-Step Workflow
- Select - Choose client, bank account, and date range
- Load & Match - Retrieve transactions and apply matching rules
- Review - Verify vendor codes and GL codes
- Export - Generate CSV file formatted for Accounting CS
Step 1: Select Client and Parameters
When you open Review & Export, you'll see four dropdown controls:
- Client - All clients from your LedgerSync account
- Bank Account - Bank accounts for the selected client
- Start Date / End Date - Date range for transactions
Best Practices:
- First time: Start with 1 month to test
- Recurring: Match your accounting close periods
- Large volumes: Process in smaller chunks
Step 2: Load & Match Transactions
Click Load Transactions. The system:
- Retrieves transactions from LedgerSync (5-15 seconds)
- Applies rule-based matching (60-75% match rate)
- Uses AI matching for unmatched items (15-20%)
- Applies semantic matching as fallback (5-10%)
Match Indicators:
- Green - Rule match (high confidence)
- Yellow - AI match (review recommended)
- Blue - Semantic match (verify carefully)
- Red - No match (requires manual assignment)
Step 3: Review Transactions
Transactions appear in a table with columns:
- Date, Description, Amount
- Vendor (editable), GL Code (editable)
- Status (match method used)
Making Corrections
- Click on the transaction row
- Click in the Vendor or GL Code field
- Type to search, select from autocomplete
- Press Enter to save
- System offers to create a rule
Bulk Editing
- Check boxes next to multiple transactions
- Click "Bulk Edit"
- Choose "Set Vendor" or "Set GL Code"
- Apply the change
Step 4: Export to CSV
When all transactions are assigned:
- Click Export to ACS Format
- System generates 11-column CSV file (2-5 seconds)
- Download link appears in Export History
- Save file for Accounting CS import
CSV File Format
The exported file contains 11 columns:
- Date (MM/DD/YYYY)
- Transaction ID
- Vendor Code
- Description
- Debit / Credit
- GL Code
- Department, Reference, Memo, Class
Workflow Tips
- Process in batches - Do multiple clients in one session
- Review largest amounts first - Catch errors on important transactions
- Create rules as you go - Each correction improves future matching
- Double-check AI matches - Yellow highlights need verification
