LedgerSync QuickBooks Desktop App — Live Bank Feed with AI

LedgerSync QuickBooks Desktop App — Live Bank Feed with AI

Overview

The LedgerSync QuickBooks Desktop App is a dedicated application that creates a live, automated bank feed directly inside QuickBooks Desktop — no manual file uploads, no .QBO exports, no Excel files.

This is the modern alternative to the traditional workflow of exporting transactions from LedgerSync, editing a .QBO file, and importing it manually into QuickBooks Desktop. The LedgerSync QB Desktop App eliminates all of that.

If you are currently dealing with .QBO import errors, this app is the recommended long-term solution. It removes the file export/import step entirely and pushes transactions directly into QuickBooks Desktop with AI-powered categorization.

What the App Does

  • Live bank feed into QuickBooks Desktop — transactions flow from LedgerSync directly into your QB Desktop company file automatically, just like a native bank feed.
  • AI-powered categorization — the app uses LedgerSync's Rules Engine and AI to categorize transactions before they land in QuickBooks Desktop, reducing the manual review workload significantly.
  • No file handling required — eliminates the need to export .QBO or Excel files and manually import them. The connection is persistent and automatic.
  • Works across all client company files — manage multiple clients from one LedgerSync account, with each client's transactions feeding into their own QuickBooks Desktop file.

How It Works

The app uses the official QuickBooks Desktop SDK, which communicates directly with the QuickBooks Desktop environment. Because of this, the LedgerSync app must be installed in the same environment where QuickBooks Desktop is running.

Installation Requirements

  • The LedgerSync QuickBooks Desktop application installed on the same machine as QuickBooks Desktop.
  • The QuickBooks Desktop SDK installed in that same environment.
  • A user with administrator rights must perform the installation.

How to Download and Install

Standard (Local) Installation

  1. Log into your LedgerSync account.
  2. Click the dropdown arrow next to your account name (top right).
  3. Select LS Desktop App.
  4. The installer downloads automatically.
  5. Open your Downloads folder, double-click ledgersync-setup-latest, and follow the installation wizard.
  6. On first launch, accept the Terms & Consent form.

Remote Desktop or RightWorks Installation

If QuickBooks Desktop is hosted in a Remote Desktop or RightWorks environment, the installation must happen inside that hosted environment — not on your local machine.

  1. Have someone from IT or RightWorks log into the hosted environment.
  2. Download the installer directly from inside that environment:

  3. Install both the LedgerSync QB Desktop app and the QuickBooks Desktop SDK inside the hosted environment.
  4. A user with administrator rights must complete the installation.

MacOS Installation

  1. Download using this link:
    https://api.fdels.com/api/v2/proxy/app/installator/download?os=macos&version=latest
  2. Press Cmd + Space, type Terminal, and run:
    xattr -cr /Applications/LS\ Desktop\ App.app
Important: You must keep the LedgerSync Desktop App connected while transactions are being pushed. Disconnecting mid-session may interrupt the sync. The app can be connected or disconnected at any time from the system tray.

Troubleshooting: App Stuck on "Connecting..."

If the app displays Connecting... indefinitely, this is almost always a browser mismatch. The LedgerSync Desktop App must run on the same browser as your LedgerSync web session.

Fix: Close all browsers and the app, then relaunch the Desktop App first — Windows will open your default browser automatically. Use that same browser to access LedgerSync going forward. See Desktop App Stuck on Connecting for full details.

We Recommend Scheduling a Setup Call

Initial setup is straightforward but we strongly recommend a guided session for first-time installs, especially in RightWorks or Remote Desktop environments.
