Zoho Books Integration — Setup & Transaction Sync

Zoho Books Integration — Setup & Transaction Sync

Notes
Overview
LedgerSync now supports Zoho Books as a full accounting platform integration — equivalent to the existing QuickBooks Online integration. If your firm uses Zoho Books to manage client books, you can connect it to LedgerSync and use the Rules Engine to categorize and sync bank transactions directly into Zoho Books, just as you would with QBO.

What the Zoho Books Integration Supports

  • Connecting a client’s Zoho Books organization to LedgerSync
  • Importing the client’s Zoho Books chart of accounts (categories) into the Rules Engine
  • Categorizing bank transactions using Global Rules and Client Rules mapped to Zoho Books accounts
  • Syncing categorized and accepted transactions from LedgerSync directly into Zoho Books
  • Syncing transactions to Zoho Books liability accounts (credit cards, loans) as well as bank accounts
  • Viewing export status in the Sync Status tab

How to Connect Zoho Books to a LedgerSync Client

  1. Select the client from the left panel in LedgerSync
  2. Navigate to Client Management for that client
  3. Look for the Accounting Integration section
  4. Click Connect to Zoho Books
  5. You will be redirected to Zoho's authorization page — log in with the Zoho Books account credentials for that client
  6. Select the correct Zoho Books organization to connect (if the account has multiple organizations)
  7. Authorize LedgerSync’s access
  8. You are returned to LedgerSync — the client is now connected to Zoho Books

InfoZoho Books uses OAuth-based authorization — LedgerSync never stores your Zoho Books password. Authorization can be revoked at any time from within Zoho Books itself.

Setting Up the Rules Engine for Zoho Books Clients

The setup process for Zoho Books clients mirrors the QBO workflow:

Step 1. Map Global Categories to Zoho Books Accounts

After connecting the client, go to Rules Engine > Global Categories. For each Global Category your firm uses, map the corresponding Zoho Books account for this client. This tells LedgerSync which Zoho Books account to post a transaction to when a matching rule fires.

Step 2. Assign Client Rules (Optional)

If this client has unique categorization rules that differ from your firm’s Global Rules, create Client Rules for them. Client Rules work the same way for Zoho Books as they do for QBO.

Step 3. Run the Rules Engine

Bank transactions will appear in the For Review tab. Global Rules apply automatically. Review the categorized results, accept the ones you approve, then sync.

Syncing Transactions to Zoho Books

  1. In the Rules Engine, go to the Categorized tab
  2. Select the transactions you want to push to Zoho Books
  3. Click Sync — LedgerSync posts the transactions to the connected Zoho Books organization
  4. Check the Sync Status tab to confirm each transaction synced successfully
  5. Failed syncs appear in the status tab with an error message — review and retry as needed

InfoLiability accounts: LedgerSync supports syncing transactions to Zoho Books liability accounts (credit cards, loans). Make sure the correct account type is mapped in the Rules Engine before syncing credit card or loan transactions.

Sync Status — Checking Results

After syncing, go to the Sync Status tab to see the result for each transaction:
  • Synced — transaction was successfully posted to Zoho Books
  • Failed — transaction was not posted; review the error message and correct the account mapping or transaction data
  • Skipped — transaction was held back as a possible duplicate; use "Sync Anyway" to force-push if it was incorrectly flagged
Failed syncs in the status list are sorted to the top within each sync batch for quick identification.

Client List Filtering — Find Zoho Books Clients

In the client list panel, you can filter by accounting integration type. Select Zoho Books from the integration filter to see all clients connected to Zoho Books at a glance. You can also filter for clients with No Integration to find any clients that haven't been connected to an accounting platform yet.

Frequently Asked Questions

Q: Can I use LedgerSync with both QBO and Zoho Books clients in the same firm?
Yes. LedgerSync supports both QBO and Zoho Books clients simultaneously within the same firm account. Each client is connected to whichever accounting platform they use. Global Rules apply across all clients regardless of their accounting platform, with the correct account mapped for each one.

Q: Can I connect a Zoho Books client that has multiple organizations?
Yes. During the authorization step, you choose which Zoho Books organization to connect for that client. If a client has multiple organizations, connect each one as a separate LedgerSync client.

Q: Does the Rules Engine treat Zoho Books clients differently from QBO clients?
No. The Rules Engine works identically for both. Global Rules, Client Rules, AI rule generation, the audit log, and all other Rules Engine features apply equally to Zoho Books clients.

Q: Will the "unmapped clients" popup appear for Zoho Books clients too?
Yes. If a Zoho Books client has unmapped categories, you will see a notification at login prompting you to complete the mapping. Click the button in the notification to go directly to the mapping page for that client.

Q: What happens if I reconnect a client to a different Zoho Books organization?
Use the Reset Data action for that client before reconnecting to a different organization. This clears the previous QBO/Zoho data and moves unsynced categorized transactions back to For Review, preventing data from being mixed between two different organizations.
